    What is happening with the RFP? The deadline for RFPs to the CFC was October 1st (7 weeks ago), the Governors voted a few weeks ago...

    Who is doing the new website?

    When is the deadline for site completion; when will the CFC members have a new site?

    Who is responsible for keeping it up-to-date on a daily (or at least weekly) basis?

    The Governors voted last week.
    The Exec are authorized to choose the successful bid and spend up to $18 k.

      Motion to Purchase New CFC Website

      Motion – with respect to the CFC purchase of a new website,
      1. The CFC will spend up to $ 18,000 ;
      2. the executive is authorized to determine the most acceptable bidder, and to negotiate and enter into a contract of purchase.


      Commentary

      The CFC has struggled for years over the issue of a new website. Built back in the nineties, our website has not kept pace with new technology, is now obsolete and to some extent, an embarrassment. A simple face lift is no longer an acceptable option. The governors have previously agreed that a new modern website is essential.

      The RFP process produced 10 responses. It quickly became apparent that our previous cost estimates of 8-10k were light. A cluster of good bids formed in the neighbourhood of 15k. A few higher bids were rejected for price, and some lower bids were rejected over quality concerns. The 15k cluster represents our best "bang for the buck".

      Treasurer Fred McKim and Patrick Smale (EKG) have led a thorough review of the candidate bids. They have consulted with several computer savvy members during the process. The field has been reduced to 2 excellent bids. Both are from experienced professional website design firms in Ontario. Fred and Patrick are continuing to negotiate on the finer points of the contract.

      The benefits derived from a modern new website are lengthy. Here are a few, in no particular order:
      1) TD’s can send SwissSys events and have these updated immediately.
      2) All kinds of searching and reporting available on the new and improved database. This can be used for marketing analysis or rating analysis.
      3) CFC GM / IM profile section. Profiles of new players like Jason Chao can appear over night.
      4) Game browser.
      5) Open source CMS will allow new features to be built on over the years. Right now we are afraid to touch the code for fear of breaking the whole web site.
      6) Blogs by all sorts of people (TD’s, organizers, columnists, players, etc).
      7) Members only section. We would have to be careful as to what we place in this section, as we need to give our members something for their contribution to the CFC.
      8) Improved Security, so breaches like last years Google fiasco doesn’t happen again.
      9) Content will be changing on a more frequent basis, will promote users to return.
      10) Advertising possibilities.
      11) Mobile version being built for Ipod, blackberry and android for ratings and membership, etc.
      12) Can conduct online polls with members and or customers.
      13) Can provide a forum for newsletter content, where there is no limit to user supplied content. So for example the things that I read might be completely different from the things you read. A dynamic modern news format as opposed to the present monthly essentially linear news format where content is restricted by space limitations.
      14) Customized brochures could be hand printed by organizers.
      15) Automated e-mails sent out to expiring members.
      16) Automated e-mails sent out to players who have tournament upcoming in their area, etc.

      This represents a critical investment in our future, and is long overdue. Be assured, we are not abandoning the principal of a balanced budget. While this is best described as a one time capital budget item, we do expect to recoup the funds via the operating budget over the next 3 years. Other discretionary budget items will be trimmed if necessary.

            This is chess. The reply to your questions are easy.

            2. The name will likely be familiar to us.

            3. The new site will be ready when it's ready. Won't likely be too soon because it's hard to justify charging 15 K for something which is finished in a month or less.

            4. Responsibility will be delegated. Whoever gets the responsibility will be named "it".

              Will CFC be disclosing who the vendor will be? I think its justifiable since part of the 15k is coming from membership fees.

              Also who's doing the testing on the CFC side? If we pay a lot of money for a nice website, we might as well make sure it works perfectly (both funcationality and performance). Put all of these in the SOW.

                A semi-random comment. I've just tried to get info from the BC Ferries website. It seems clear that they don't have just one website. The Current Conditions (where you can view webcams of the six major ferry terminals, and track the vessels' adherence to schedule, etc, some fairly advanced facilities) was up to the minute, but for the conceptually simpler Schedules section, it was "Server Not Responding". So it looks like they have several servers all under the same name bcferries.com, but not necessarily in the same building or city or ... country. CFC could go that route, maintaining the parts that work (if any) of the current site. Then some part of chess.ca would always be working, but you'd have more instances when not all parts of the site were working. I'm thinking of this more for the transitional stage of moving from the current website to a new one, as they're working out the lumps of the new site in the inferno of user interaction.

                      We were planning on an announcement last week, but we got distracted with other stuff. :o

                      I just need to check on the timelines, expect an announcement tomorrow. :D

                      hmm....on the CFC board first, of course. :)
