  • " Trial AGM " Coordinator Needed

    The CFC Subcommittee on AGM Modernization ( me as chair, Chris Mallon, Michael von Keitz ), have developed a new Model AGM that is very interactive and will allow governors across the country, who cannot attend the meeting on-site, to nevertheless participate by computer/conference call. We are hoping to partially implement our model for the Toronto July AGM.

    In order to do this, we have scheduled a " trial AGM " meeting for Sunday, April 3, at 1:00 PM EDT. The Chess Instutitute of Canada ( Director - Ted Winick ) has kindly provided free space for us for 3 hours that day - we'll have set-up time of one hour, from 12:00 PM EDT, to the start of the meeting at 1:00 PM EDT. We propose to end the trial meeting at 2:00 PM EDT. Then we will have a take-down and de-briefing hour from 2:00 -3:00 PM EDT. The Institute is located at 918 Bathurst Street, just north of the Bathurst Subway stop on the Bloor-Danforth Subway line. This will be during the 2011 Spring Governors Quarterly On-line Meeting, currently scheduled for Friday, April 1 - Friday, April 7. We will use as our agenda for the " Trial Meeting " , some items on the Spring Meeting Agenda. It will run contemporaneously with the regular daily meeting on the Governors' Discussion Meeting Forum, and we will be asking Governors to participate in the trial meeting on the Sunday. Some executive and GTA governors will be on-site at the Institute for the meeting.

    We will be using a USA-based Web Conferencing company, Webinar.com. They offer a free " trial meeting " for those interested in using it in future. We will take advantage of this, since if it works, we will implement it for the AGM.

    This will involve off-site govenors calling in by phone, or computer to the company's central number, and their program then allows for them to hear the on-site governors via microphone on site, and for the off-site governors to be heard via on-site speakers. As well, the on-site secretary's laptop will be able to be viewed by all off-site governors. So presentations may be put on the computer, handouts posted, etc. as may be helpful to the meeting.

    I personally am not all that techie ( even low level as we are talking here ). So I am unable to handle the on-site technology and the coordination with the web-based company. I am told that it will be rather straightforward for someone used to using a laptop, dealing with computers and microphones, etc.

    So the Subcommittee is looking for a volunteer who would act as the " Trial AGM Coordinator " on site. They would also arrange for the meeting with Webinar. I would assist re communications with the governors, etc, in preparation. If you feel you could assist the CFC in this way, it would be much appreciated.

    " Trial AGM " Coordinator Still Needed

    It has now been 2 days, and so far I have had no volunteer come forward.

    The Subcommittee has worked hard to get a modernized AGM model, and now to set up a " trial AGM ". It will be a shame if we are unable to implement our proposal for the July AGM, due to lack of a Trial AGM Coordinator for this Trial Meeting.

    The person does not have to have a great deal of IT knowledge. Just working with a laptop and microphones. The business of using Webinar's website should be fairly straightforward.

    So if you think you might be able to help us out, and are in the GTA area and available on Sunday, April 3 from 12:00 PM - 3:00 PM, your volunteering would have a significant effect on moving CFC governance forward, and allowing governors across the country to participate. Please consider spending a few hours on this for the CFC. Thanks.
